About the role
We are seeking a highly organized and detail-oriented Administrative Assistant to join our dynamic Executive Office team. The successful candidate will provide crucial administrative support to the Senior Executive Assistant and contribute to the overall efficiency and effectiveness of the executive office. This position requires a proactive individual with exceptional organizational skills, strong communication abilities in both Greek and English languages, and the capacity to handle sensitive information with discretion and confidentiality.
Key Responsibilities:
Calendar Management:
- Assists in scheduling meetings, appointments, and events for the Senior Executive Assistant.
- Coordinates and manages complex calendars, ensuring all appointments are scheduled efficiently.
Communication:
- Acts as a liaison between the Senior Executive Assistant and internal/external stakeholders.
- Drafts and edits correspondence, emails, and other communications on behalf of the executive team.
Document Management:
- Organizes and maintains files, documents, and records in both physical and electronic formats.
- Prepares and reviews documents, reports, and presentations as needed.
Travel Coordination:
- Assists in making travel complex and demanding arrangements, including booking flights, hotels, and transportation.
- Prepares travel itineraries and ensure all necessary documentation is in order.
Meetings Support:
- Coordinates logistics for meetings, including room reservations, technology setup, and catering if necessary.
- Attends meetings as required, take minutes, and distribute them to relevant parties.
Administrative Support:
- Handles general administrative tasks, such as answering phones, managing mail.
- Undertakes special projects and assignments as directed by the Senior Executive Assistant.
Qualifications
- Proficient in English with an ideal preference for bilingual proficiency
- Bachelor's degree in Business Administration or a related field is preferred
- Proven experience as an Administrative Assistant or similar role
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Ability to maintain confidentiality and handle sensitive information
- High level of attention to detail and accuracy
- Proactive and self-motivated with a positive attitude
- Ability to work effectively in a fast-paced environment
